8 Hacks to Make Compliance Easier for English Language Teachers

English language teachers don't have to be bogged down completely by compliance tasks. If they set up systems, they can make their jobs much easier.


Compliance tasks can often feel like an overwhelming mountain for English language teachers, especially when balanced with daily teaching responsibilities. However, with the right strategies, tools, and mindset, these tasks can become more manageable and even enhance your connection with students and families. Here are some practical tips to help you streamline compliance and reclaim your time.


  1. Simplify and Systematize Student Identification and Placement.

There’s often a feeling of urgency to assess students’ language proficiency as soon as they arrive. However, this isn’t always feasible given the other responsibilities on an EL teacher’s plate.

I have spoken with many teachers who are testing students on every day of the week, as students enroll.

To manage this effectively, block out a specific time each week or every other week exclusively for testing. By designating this time, you can save hours of scrambling and create a predictable routine for yourself and your team.


  1. Empower Parents Through a WhatsApp Group.

Finding a trusted parent to run a WhatsApp group for other parents can be a game-changer. Immigrant communities tend to be closely connected, and many parents are eager to stay informed. A parent leader can help disseminate information about events, deadlines, and important documents. This eliminates the need for repeated attempts to communicate with individual families. Not only does it lighten your load, but it also gives parents a stronger sense of ownership in their child’s education.

The caveat here is that you need to find a very trusted parent who has the time available.


  1. Strengthen Your Boundaries.

It’s easy to fall into the trap of overextending yourself, but setting boundaries is critical to your long-term success. I once replaced a teacher who stayed late every night until 6 o'clock and burned out after a year. In fact, according to students, she cried in front of the class every day when they acted out. Clearly she hadn't set proper boundaries/


To avoid this, here are some boundary-setting strategies:

  • Block time for compliance tasks. Treat these blocks as sacred, non-negotiable deep work sessions. Everything depends on them, so treat them that way.

  • Limit after-school hours. Dedicate one day per week for after-school tutoring, and advertise it to ensure efficiency.

  • Turn off work after hours. Make it clear you won’t respond to emails after a certain time.


Guarding your time ensures you remain effective and maintain a healthy work-life balance.


  1. Set up a meeting and Proactively Ask for Administrative Support.

At the start of the year, schedule a meeting with your administration to request additional support during peak times, such as annual testing. If you make the request early, you’re more likely to secure the resources you need. Send calendar invites and reminders to keep these commitments on their radar. Also, schedule emails to be sent one month and two weeks out to keep people in the know.


  1. Make the Most out of Staff Meetings.

If you are in a state in which accommodations need to be filled out and signed by teachers, center any time you have in front of them on completing those tasks. It is often the case that teachers only have 2 or 3 ELs. If they complete those accomodations during these meetings, that is one fewer touch points than you have to have in the future.


  1. Weekly One-on-Ones with Students

During ELD classes, set up individual check-ins with students. Use this time to review grades, projects, and attendance while updating their compliance folders. These regular touchpoints not only help you stay organized but also foster stronger relationships with your students.
